RULES AND REGULATIONS FOR PARTICIPATION
FOOD & TECHNOLOGY EXPO-2008 ( May 3-5, 2008)

1.  EXHIBITOR: Any Company/Organisation participating in Food & Technology Expo-2008.

2.  PARTICIPATION: Application for participation is to be made in the prescribed form. Acceptance of participation and exhibits will be at the sole discretion of the organizer.

3.  BASIC CONDITIONS OF PARTICIPATION :
	a)   The prospective Exhibitor should apply on the Application Form for participation together with requisite payment. Allotment will be on "First Come First Serve" basis. All payments should be by Demand Draft or Cheque payable to 'NNS Online Pvt. Ltd.', drawn on New Delhi based bank.
	b)   Organiser reserve the right to re-allocate space, change the layout, add or delete corridors as shown in the printed Space Plan, which may effect the orientation of some Exhibitors. Organiser's decision shall be final.
	c)   No financial credit will be given by the Organiser for any package item under Shell Scheme that is not utilized.

Note: Minimum bookable area is 6 sqm for built up stalls and 35 sqm for raw (bare) space. Under built up stalls, schem constructed stand will be provided whcih includes three/two side partitions, facia, floor covering, spot lights, power point, table chairs and waste paper basket. Additional 
display  aids and furniture can also be obtained on payment

5.  VENUE : Hall No. 11 Pragati Maidan, New Delhi.

6.  TIMINGS OF THE EXPO:
     May 3, 2008  : 11.00 a.m. to 7.00 p.m.
     May 4, 2008 : 10.00 a.m. to 7.00 p.m.
	 May 5, 2008 : 10.00 a.m to 6.00 p.m

7.  OFFICIAL EXPO DIRECTORY : Entry into Official Expo Directory is compulsory and is to be made in the prescribed format by each exhibitor / constituent. (within 50 words only).

8.  ELECTRICITY CHARGES : Additional Lighting/Power for demonstration of machines and requirement for special purposes will be charged extra @Rs. 2400/- Per KW for 3 Phase Connection and Rs. 2000 Per KW for Single Phase Connection. 5% contingency/service charges will be payable additionally. Request for power connection should be made along with payment atleast two months prior to the commencement of the Expo.

9.  PAYMENT : All payments are to be made by bank draft in favour of 'NNS Online Pvt. Ltd.', payable at New Delhi.

10.  POSSESSION OF SPACE : Possession of space will be given only on receipt of full payment including space rent, electricity charges, water charges etc. Possession will be given only on 21st August morning (after 10 a.m.) for bare space and 21st August evening (after 5 p.m.) for built up space. However, display arrangements will have to be completed 4 hours before opening of the Expo.

11.  CONSTRUCTION OF STAND : Participants will not be allowed to use passages inside the Hall for construction, wood work, painting of stand and for storage of exhibits. Organizer will have the right to levy penalty in all such cases or to recover damages. Work regarding construction of stands will be permitted only within the area allotted or outside the halls. Participants will be responsible for removal of empties, waste material at least 4 hours before the opening of the Expo. No empties or wooden material shall be allowed to be kept behind the partitions of stall. Cleanliness and maintenance of stand will be the responsibility of participants.

12.  OPERATION OF STAND :  No stand will be left unattended during the Expo. Staff of participants must be present at least one hour before opening and half an hour after the close of the Expo. No activity, which in the opinion of the organizer amounts  to nuisance or annoyance will be caused by the participants. The organizer shall have the right to take remedial action in such cases. Exhibits must not obstruct passages. Fire extinguishers, cable terminals for telephone connections, outlets for electricity and water must not be obstructed.

13.  PHOTOGRAPHY : Organiser retains the right to photograph any exhibit for his use.

14.  SETTLEMENT OF CHARGES : Any and all expenses chargeable to an Exhibitor must be settled before the close of the Exhibition to ensure smooth removal of exhibits from the exhibition site.

15.  LEGAL : Any legal disputes arising shall be subject to the Indian Jurisdiction of a Delhi Court.

16.  SPECIAL GUIDELINES FOR RAW SPACE :
	a)	No Carpentry will be allowed inside the Hall. Stands should be prefabricated for assembly and finishing only in the Hall.
	b)	Height of any panel not to exceed 2.5 metres from the floor.
	c)	Design to be approved by the Organiser before erection.
	d)	Halogen Lamps are strictly prohibited.

17.  VACATION OF SPACE : Space will have to be vacated within 4 hours of the close of the Expo failing which participants will be required to pay penalty as prescribed by the organiser. The organizer will have the right to remove the exhibits/material etc. of participants at the risk and cost of participants. Storage of exhibits in the open area will not be permitted after the close of the Expo and will attract penal rent of Rs. 50 per sq. mtr.. per day.

18.  STORAGE OF EMPTY CASES : Empty cases will not be allowed to be kept anywhere in Pragati Maidan. These will have to be removed atleast 4 hours before the opening of the Expo failing which ITPO will have the right to confiscate them.

19.  SECURITY : The organizer will make the general security arrangements.  However, participants will be responsible for the security of the exhibits and stall.  They will make security arrangement of their stalls.

20.  FIRE PREVENTION : Participants will keep and maintain fire-fighting equipment within their stalls as per safety regulations. Arrangement of fire-extinguishers in stall / pavilions is the responsibility of the individual participants.  However, fire extinguishers on rent, can be provided by the organizer depending upon availability in stock.

21.  Gas Cylinder / Cooking are not allowed inside the Halls.

22.  INSURANCE : Participants will insure their exhibits, display material against loss, damage, theft, fire or any cause whatsoever. They will also obtain third party insurance cover for construction period, fair period and dismantling period.

23.  SERVICE AGENCIES : Work of cargo handling, clearing, construction of stand, decoration, furniture and catering can be availed by the participants only from those contractors who are registered with the ITPO. No other contractors will be allowed to provide service in Pragati Maidan.

24.  ENTRY/EXIT TO PARGATI MAIDAN FOR EXHIBITORS : Entry into Pragati Maidan of representatives of participants will be on the basis of exhibitor passes issued by the organiser. Each participant will be entitled to 2 exhibitor passes for a minimum of 6 / 9 sq. mtrs. and one additional pass will be admissible on each additional 6 sq. mtrs. space. 
	ii) For Exhibits : a) Entry of vehicles in Pragati Maidan will not be permissible. However, Vehicles carrying exhibits etc. can be allowed to come into Pragati Maidan up to 9.00 am. and after 8.30 pm. with the prior approval.
	b) No exhibits/cases/display material will be allowed to be taken out of Pragati Maidan after the close of the Expo without Exit Permit which will be issued by the organizer.

25.  CAR PARKING : No car parking will be allowed within the Pragati Maidan. Cars / Vehicles will be parked in the Parking areas only.

26.  REFUND : Once application form is received by the organizer, no refund of space rent will be entertained.

27.  Smoking inside the Exhibition Halls is strictly prohibited.

28.  DRESS CODE AND NOISE LEVEL : The Expo is a business oriented event attended by domestic and overseas business personnel and visitors.  It  is, therefore, necessary that hosts/hostesses and presenters, who often promote different products and services on behalf of the exhibitors, are decently attired, keeping in view the law of the land and our cultural ethos. Many exhibitors use loud speakers for playing music, making announcements and other promotional means for attracting visitors.  While doing so, it is essential to ensure that no nuisance / disturbance is caused to other exhibitors and annoyance to the visitors.  Hence, the sound level is not allowed to exceed 7 decibels.
